Privacy policy

We collect as little personal information as possible, use it only for the reasons described here, and never sell it. This policy is written to be read, not to be survived.

Who we are

hireDiverse is a Canadian job board and employment equity solution (HST/GST registration 715347472), referred to in this policy as “we”, “us” or “hireDiverse”.

This policy explains what personal information we collect through hirediverse.ca and our job board, why we collect it, how we handle it, and the choices you have. It applies to employers, job seekers, community partners and newsletter subscribers.

What we collect

We collect only what is needed to run a job board and support employers:

  • Employer and partner contact details — name, work email, job title, organization, and anything you include in a message, quote request or contact form.
  • Job posting content — the roles, descriptions and application settings you publish, plus billing details needed to issue an invoice.
  • Job seeker information — if you apply through hireDiverse, the application details and any resume or documents you submit. Where an employer routes applications to their own ATS or inbox, your application goes to that employer and is governed by their privacy practices.
  • Newsletter subscriptions — the email address, and any name or preferences you provide, when you sign up for our employer or job seeker emails or download a resource such as the leadership business case.
  • Website analytics — aggregate, non-identifying information about pages viewed, referring sites, approximate region and device type.

We do not ask for and do not want sensitive personal information such as government identifiers, financial account numbers, or health information. Any self-identification a job seeker chooses to share with an employer is voluntary and provided to that employer, not required by hireDiverse.

Why we collect it

We use personal information to publish and distribute job postings, deliver applications to the destination the employer selected, respond to enquiries and quote requests, issue invoices and maintain business records, send emails you have asked to receive, produce aggregate audience and employment equity reporting for employers, and improve the site.

Employment equity reporting we provide to employers is aggregate and about posting and outreach activity. It does not identify individual job seekers.

We do not sell personal information, and we do not rent or trade contact lists.

Who we share it with

We share personal information in three situations:

  • With employers — when you apply to a role, your application goes to that employer. Their handling of it is governed by their own privacy practices.
  • With service providers who operate parts of our business on our behalf — our job board platform, email marketing platform, website hosting and database provider, website analytics, and payment processing. These providers may process data outside Canada, including in the United States, and are bound to use it only to deliver their service to us.
  • Where required by law — for example in response to a valid legal request.

We do not share personal information for any other purpose.

Cookies and tracking

The site and job board use cookies and similar technologies to keep you signed in, remember preferences, and measure aggregate traffic. You can block or delete cookies in your browser; some features, such as employer accounts, may not work correctly if you do.

Our newsletter emails may record whether a message was opened or a link clicked so we can tell which content is useful. You can opt out by unsubscribing.

How long we keep it

We keep personal information only as long as it is needed for the purpose it was collected, or as long as Canadian tax and business records law requires — generally seven years for invoicing and financial records. Enquiry and quote correspondence is kept while a business relationship is reasonably possible. Newsletter subscriptions are kept until you unsubscribe. Applications submitted through hireDiverse are retained only as long as needed to deliver them to the employer and support the hiring process.

How we protect it

The site is served over HTTPS. Data is stored with reputable hosting and database providers with access controls in place, and access is limited to hireDiverse staff who need it to do their work. No system can be guaranteed perfectly secure, but if a breach affecting your information occurred we would notify affected individuals and the Office of the Privacy Commissioner of Canada as required.

Your rights

Under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) you can ask us what personal information we hold about you, ask for a copy, ask us to correct anything inaccurate, ask us to delete it where we are not required to keep it, and withdraw consent to marketing emails.

Email hi@hirediverse.ca and we will respond within 30 days. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

Children

hireDiverse is intended for job seekers and employers, and is not directed at children under 16. We do not knowingly collect personal information from children.

Changes to this policy

We may update this policy as our services change. The revision date below always reflects the current version, and material changes will be highlighted on this page.
